Basic Approach to Making ID Cards
We are often asked how to make customized Student ID Cards. The ID card format that comes preloaded with the program is part of the programs executable rather than an attached file and therefore cannot be changed by the user. There are two options available in the program for making Student ID Cards: the User Reports Screen or the Documents Screen. Either approach will produce one ID Card per sheet of paper. For best quality, use the Document Screen approach with MS Word. To get a good quality ID card from the Documents Screen do the following: 1. Create the .rtf file by clicking “Add New” button on the Documents Screen. Enter a name on the popup screen and click the “OK” button. 2. Delete all the text that first appears on the Document Editor Screen. 3. Add all the desired fields to the screen text area by clicking the “Insert Database Field” button at the top of the screen. When you select a field from the Field Selection popup screen Fields drop down box it will be added to the text area of the screen. To add student pictures and barcodes, select the Special Fields option then select from the drop down box. 4. When you have all desired fields on the screen then click the Word icon button at the top of the screen. This will open your MS Word application and load all the information from the Document Editor Screen. 5. In MS Word, go to the bottom of the text area and insert a table. The table should be about 2 columns and 3 rows. Set the size of the table to the size you desire for your ID Cards. The table will keep the fields of your ID Card in their proper places. 6. Next, cut and paste the fields into the desired cells of the table. Add text as desired. Change size, font, color, etc. to your liking. 7. Remove the Table borders through the table properties options. 8. Click Save and close the Documents Screen. You can now go to the Student Screen and callup the ID Card from the User Defined Documents drop down box under the “Doc’s” tab. To make additional edits to your ID Card, open the Documents Screen. Select the ID Card document from the User Defined Documents list. Click the “Edit View” button. Make changes and then save. When making your ID Card you may also want to consider making it with two sides by placing a fold in the printout, then laminating.
